  • About The Role

  • Days / Hours: This role will require you to work Monday - Friday, with the hours being between 08:00 - 17:00.

Location: Predominantly remote, with occasional travel to our Newport office and operational sites as required.

    Salary: £27,000 per annum.

We are looking for an organised, proactive and detail-oriented Recruitment Coordinator to join our Recruitment & Onboarding team at Atlas FM.

Whilst this is a predominantly remote role, we are looking for someone who lives within easy travelling distance of our Newport office and is comfortable attending the office or travelling to alternative sites when required. A driving licence and access to a vehicle are not essential, provided you are able to travel to these locations as needed.

This role is integral to delivering a seamless recruitment and onboarding experience, supporting hiring managers, candidates and operational teams throughout the recruitment journey, from initial application through to employment and deployment.

You will be responsible for a variety of recruitment administration, onboarding and security vetting activities, ensuring that candidates are processed efficiently, accurately and in accordance with company policies, employment legislation and relevant compliance requirements.

    Your key responsibilities will include:

    • Supporting the end-to-end recruitment process, including vacancy administration, candidate communication, interview coordination and recruitment system management.

    • Coordinating onboarding activities, ensuring new starters complete all necessary documentation and pre-employment checks.

    • Supporting Right to Work verification, ensuring appropriate evidence is obtained and recorded in accordance with Home Office requirements.

    • Coordinating pre-employment screening and security vetting, including DBS checks, employment history verification, references and address history checks.

    • Supporting screening requirements in accordance with BS7858 and other applicable vetting and safeguarding standards.

    • Maintaining accurate candidate and employee records across multiple recruitment, onboarding and HR systems.

    • Liaising with candidates, hiring managers and operational teams to progress applications, resolve queries and prevent unnecessary delays.

    • Monitoring outstanding documentation and screening requirements, proactively following up to ensure timely completion.

    • Handling personal and sensitive information securely, maintaining confidentiality and compliance with UK GDPR and data protection requirements.

    • Reporting requirements and continuous improvement initiatives to enhance efficiency, compliance and the overall candidate experience.

    • Identifying and escalating potential compliance concerns, ensuring appropriate checks and approvals are completed before employees are authorised for deployment.

As this role involves access to confidential employee information and security screening records, the successful candidate will be required to undergo screening in accordance with BS7858, the British Standard for security screening. This includes a Basic Disclosure and Barring Service (DBS) check, verification of five years' employment history and a five-year address history check, alongside other applicable screening requirements.

This is a fast-paced and varied role requiring excellent attention to detail, strong organisational skills and the ability to manage competing priorities. You will work closely with colleagues and stakeholders across the business, helping to ensure our recruitment, onboarding and vetting processes are delivered consistently, compliantly and in line with Atlas values.

This role offers an excellent opportunity to develop a broad range of recruitment, HR and compliance knowledge within a supportive and evolving organisation, making a genuine impact on our employees, candidates and the wider business.

  • About You

  • We are looking for an organised, proactive and customer-focused individual who enjoys working in a fast-paced environment and takes pride in delivering a high-quality service.

You will be comfortable managing multiple priorities, working independently and taking ownership of your workload, whilst recognising the importance of collaboration and communication within a predominantly remote team.

We are looking for someone who:

    • Is tech-savvy: Confident using multiple systems, maintaining accurate records and adapting to new technologies.

    • Has excellent communication skills: Able to communicate clearly and professionally with candidates, colleagues, hiring managers and external stakeholders.

    • Manages time effectively: Can prioritise competing demands, meet deadlines and remain organised in a busy, high-volume environment.

    • Has exceptional attention to detail: Understands the importance of accuracy when processing employment documentation, personal information and security screening records.

    • Is proactive and solutions-focused: Takes ownership of tasks, follows up on outstanding information and identifies opportunities to improve processes.

    • Understands confidentiality: Demonstrates discretion, integrity and professionalism when handling sensitive personal information, with an appreciation of GDPR and information security requirements.

    • Is adaptable and willing to learn: Comfortable working across recruitment, onboarding and vetting activities, with a willingness to develop knowledge of employment legislation and compliance requirements.

    • Works well independently and collaboratively: Is self-motivated, accountable and comfortable working remotely, whilst maintaining positive working relationships across the business.

    • Has strong stakeholder management skills: Can build effective relationships, manage expectations and provide a professional and responsive service.

    • Has relevant experience: Previous experience in recruitment, onboarding, HR administration, compliance or a high-volume administrative environment would be advantageous.

A CIPD Level 3 qualification would be desirable, demonstrating a foundational understanding of people practice, employment legislation and professional HR standards. Candidates working towards a CIPD qualification or able to demonstrate equivalent relevant experience are equally encouraged to apply.

Knowledge of Right to Work requirements, DBS processes, BS7858 screening, safeguarding or employment compliance would be beneficial, although training and support will be provided.

Given the nature of the role, you will demonstrate a high level of integrity, discretion and professionalism, recognising the importance of accurate record-keeping, information security and compliance when supporting the recruitment and onboarding of employees.

Most importantly, you will share Atlas FM's values of honesty, kindness and accountability. You will be someone who genuinely cares about people, takes pride in doing things properly and is willing to go the extra mile to create positive experiences for candidates, colleagues and hiring managers alike.

We welcome applications from all suitably qualified candidates; however, please be aware that we are unable to sponsor work visas. All applicants must have an existing legal right to work in the UK.

Our success is down to one thing; the passion and commitment of our extended family, who together we deliver happiness across thousands of client sites every single day. To ensure we remain focused on our purpose as we grow, we recruit first and foremost on our values so for those committed to living them alongside us, there is no better place to work.

    Our Purpose

To create happiness in ourselves and others

We approach work and life with a sense of fun, optimism and belief, and strive to have a positive impact on the world around us. We show kindness and compassion to all those we meet, ensuring everyone is safe and healthy. We deliver on our promises and go the extra mile every day.

    Our Values

    We are a family

Just like any other family, we laugh, cry, celebrate and commiserate together. We may come from many different backgrounds, but we’re always there when it really matters. Whether it’s with practical help and support, or simply a mug of tea and a shoulder to cry on.

    Sharing makes us stronger

Knowledge is more powerful when its shared. Which is why we share everything - our ideas, our expertise, our news and most-of-all our time. Show humility. Share and work together, and anything is possible.

    Own your space

You are Atlas. Don’t be afraid to make decisions. Use your time wisely and treat every pound as if it was coming from your own pocket.

    Be honest. Always.

Have the courage to do the right thing, even when no-one is watching. Whether it’s owning up to a mistake, having a difficult conversation, or simply arguing a point you feel passionate about. Be yourself. Authenticity breeds trust. Trust brings happiness.

Treat clients like our best friends

If we’re a family, then our clients are our best friends. Friends who you can be completely open and honest with, because they trust you to put their interests first. We take the time to listen to what’s going on in our clients lives and pull out all the stops to make them feel happy.

    Start with Wow

And never settle for less. Create time to focus on quality and prioritise long-term solutions over short-term fixes. Constantly seek opportunities to learn from others, and if something doesn’t make sense, shout. Always ask yourself if there is more we can do to bring happiness to those around us.

    Don't just talk. Do.

We are a business that thrives on doing. The more we do, the more we succeed. Embrace change. Keep it simple. Keep meetings short. Plan just enough to succeed. And then get on with it.
